Job Title: Assistant Vice President Post Closing

Job Summary:
The AVP of Post Closing establishes and implements effective daily operations for Collateral, MERS, Loan Delivery, Purchase Clearing, Government Insuring and Trailing Docs. This position provides support and direction to the staff in each area of responsibility to ensure compliance with investors, regulators and agencies. This position must also develop leaders, establish mentorship plans and career growth opportunities within the team. The AVP of Post Closing must be capable of researching critical issues for Post Closing, offering solutions, facilitating effective decision making, establishing and implementing consistent processes and monitoring productivity, pipelines, aging and quality.

Responsibilities:
Core Functions
Reviews, researches, and evaluates department policies and procedures to ensure quality, increase efficiency, and meet changes in investor or regulatory requirement
Maintains knowledge of mortgage lending regulations, investor guidelines, and company policies; communicating changes timely and effectively to staff
Addresses/resolves identified trends and process gaps by formulating new strategies/processes or improving current strategies/processes to ensure departmental goals and objectives are met
Participates in work-flow and process improvement initiatives; Monitors implementation of new processes and procedures for effectiveness, efficiency, and quality. May include identifying requirements for processes and testing technology solutions.
Understands impacts to other departments inside and outside of post closing and effectively communicates process changes and production delays as necessary
Develops and maintains relationships with Fairway network, agencies, and investors, as well as resolving escalations to ensure work flow is working seamlessly for all parties involved
Collaborates with department leaders to discuss trends, status of process and procedures, continuing issues, and areas of concerns; works with department leadership to implement corrective action to improve quality, as needed
Review escalated issues presented by leadership for assistance with identifying solutions and problem solving. May include loan salability issues requiring alternative solutions for incurable loans
Create/maintain reporting to determine/summarize department metrics, pipeline status, issues/trends and forecast investor volumes to ensure proper staffing.
Provides top tier level of customer service, including fast and accurate responses via telephone, email and instant message
Provides leadership to direct staff through effective goal setting, delegation, accountability and communication of defined expectations.
Staff management including recruiting/hiring new employees, evaluating current employee performance and growth (via promotions, transfers, coaching and disciplinary action), leadership development and addressing personnel issues
Collateral
Managing personnel who are responsible for the intake and delivery of collateral to custodian and warehouse banks. Ensuring compliance with regulatory commitments within our product offering.
Manage outstanding closing packages to ensure timely receipt of collateral packages to avoid wet aged curtailments.
Manage MERS registration, transfers and deactivations in accordance with MERS requirements
Exception clearing with custodian to ensure initial certification within compliant timelines in accordance with GSE requirements.

Investor Delivery & Purchase Clearing:
Managing personnel who are responsible for the delivery of imaged packages to the following investors, agency and servicing entities:
Jumbo investors Alliant, Redwood, Chase, Everbank, etc.
Bond investors – US Bank, Lakeview
Manage pipeline of delivered loans to take out investors (Jumbo/Bond) to ensure timely delivery, suspense clearing and settlement off the warehouse lines.

Insuring & Guarantee:
Managing personnel who are responsible for the audit and review of all FHA/ VA & USDA loans for endorsement through applicable agency.
Manage pipeline of funded government loans to ensure timely endorsement of all loans within 45 days of funding.
Immediate delivery of pre-endorsement loans for manual review to agencies. Loans to be printed, audited and delivered within 10 days.
Clear all NOR suspense items in a timely manner to avoid rejection for agency.

Trailing Documents
Managing personnel who are responsible for the intake and delivery of trailing documents.
Manage outstanding trailing document reports with investors to ensure timely release of holdback funds and pool certification.
Exception clearing with custodian to ensure final certification within compliant timelines in accordance with GSE requirements.

MCC/ Escrow Holdbacks
Receive, review and confirm all Escrow Holdbacks to ensure they meet investor and agency requirements.
Manage pipeline of all open Escrow Holdbacks to ensure timely close out and disbursement of funds.
Manage pipeline of open MCCs to ensure timely payment of MCC fees as well as completeness of compliance documents for year-end reporting.
Perform other duties as assigned.

Supervisory Responsibilities

This position oversees operations managers and assigned their staff.

Requirements:
High school diploma required; Bachelors degree preferred
Minimum of 5 years managerial experience
Demonstrated ability to manage a production-based environment in which performance is based on meeting targets related to speed, accuracy and quality
Experience with investors guidelines
Mortgage and/or bank loan compliance experience preferred
Experience working within a Closing Department preferred
Timely communication and response times according to department standards


Physical/Sensory Requirements:

Must be able to lift 25 pounds at a time
Bend, stoop and stretch as needed
Prolonged periods of sitting, standing and or ambulating (Employee has some control over the length of time)
Prolonged use of computers, telephone, and other standard office equipment which includes reading, writing, listening or speaking
Fluency in English language (written, oral, spoken); fluency in a second language desirable
