IMAgine working at IMA! We are recruiting for a Director of Patient Outreach and Engagement. This is a remote position.

The Director, Patient Outreach and Engagement is responsible for building and managing a Patient Outreach Center (POC) to support patient recruitment across our nationwide site network and engage enrolled patients throughout the lifecycle of clinical trials. The Director creates the infrastructure and processes necessary to make the POC effective in recruiting patients into clinical trials which may be using a variety of traditional site-based, hybrid and decentralized models. The Director will assimilate and train existing staff and make new hires as needed to support corporate growth. The POC will also provide direct patient engagement to drive patient retention and to collect study data as needed. In addition to recruiting patients responding to conventional advertising campaigns, the POC will also interface and communicate with the patients registered in IMA?s databases. The POC may also serve as a Tier-1 help center for patients.

The Director leads collaborative efforts with leadership and study teams to identify and evaluate key drivers related to successful recruitment and enrollment into clinical trials. The Director develops and reports KPIs to Senior Leadership on a routine basis.

The Director can be based in any IMA office location or from home remotely anywhere in the US.

Job Responsibilities:

Operational Leadership

  • Contribute to the common goal of achieving and exceeding Clinical Research Division?s monthly, quarterly and annual revenue and earnings goals as set by senior management;
  • Identify essential technological components, operational interfaces and staff required to build and maintain the POC
  • Prioritize and implement development of the essential functional components to make the POC operational as soon as possible;
  • Identify, develop, and lead a fully-functional operational team including patient recruitment, patient engagement, and other project delivery functions as required by protocol design and execution strategy;
  • Engage existing recruitment resources, recruit and train new staff, and manage the group into and effective team of Patient Recruitment Specialists to provide Division-wide patient recruitment;
  • Identify and train a team of Patient Engagement Specialists to deliver remote study assessment and promote patient retention levels that exceed industry norms for therapeutic area;
  • Identify and implement effective patient retention strategies, especially for longitudinal and decentralized projects;
  • Deliver project recruitment and retention against contracted client goals and internal business objectives;
  • Accountable for POC?s full compliance with all regulatory requirements, Good Clinical Practices (GCPs) and other applicable local, state and federal regulations;
  • Responsible for the implementation and maintenance of the POC?s operational procedures, including the development, amendment and compliance oversight of all applicable SOPs;
  • Develop, socialize and implement creative and innovative operational strategies to achieve ?best in class? operational management and service delivery of the POC;
  • Develop and implement a strategy for contacting existing and new patient database registrants to confirm data and clean up content to make the database usable;
  • Lead data mining of the patient database to identify potential patients to recruit;
  • Develop, maintain and report KPIs for essential activities performed by the POC;
  • Lead, advise and guide interdisciplinary and cross-functional internal and external teams to deliver study recruitment and patient engagement, especially where decentralized project structures engage other IMA Group resources;
  • Support feasibility requests around enrollment potential with data-driven analyses;
  • Actively support resource planning initiatives including providing input on POC budget development and resource allocation for prospective clinical trials;
  • Work with internal subject matter experts to elucidate the patient journey and make communications relatable through the lens of the patient and caregivers;
  • Conduct outreach and communicate regularly with community members to provide current, relevant and engaging information
  • Develop patient pre-screener scripts that enrich the number of qualified patients screened at the site level to promote enrollment efficiency
  • Work with the Clinical Trial Management System operations team to support recruitment and retention activities
  • Interpret data and provide qualitative feedback to leadership
  • Perform other related duties as assigned (and work hours necessary for completion)

Line Management

  • Monitor and track POC team individual performance, strengths and weaknesses, and be able to communicate evaluations and execute developmental steps where necessary;
  • Monitor performance, attendance, certifications, training and associated records, as well as other required documents to ensure they are up-to-date and meet all regulatory standards for their roles and responsibilities;
  • Create team and individual goals that align with corporate plans for individual and company growth;
  • Conduct project reviews and forecast meetings;
  • Coach direct reports on strategies to continuously improve operational process and delivery quality;
  • Facilitate knowledge sharing of regional trends and best practices across teams;
  • Provide the leadership necessary to attract, retain and develop a motivated, productive and competent team through open communication and delegation of responsibilities and authority;
  • Inspire team to meet and exceed all business unit targets;
  • Create an environment of trust, teamwork, safety and respect for every employee;
