UC Smarter Balanced is a large-scale, online assessment program that serves 6M students and 400,000 educators in California and across the nation. Governed by a consortium of member states, UC Smarter Balanced executive committee, governing board, and K-12 educators provide valuable input into the design and delivery of standardized assessment for states, territories, and Bureau of Indian Affairs. The program is organized within the division of continuing education, UCSC Extension, University of California, Santa Cruz. JOB SUMMARY

Uses professional financial services concepts. Applies organization policies and procedures to resolve a variety of moderately complicated issues and provide support to the Chief Operating Officer. Works on financial services problems of moderate scope where analysis of situations or data requires a review of a variety of factors.

JOB DUTIES

75% – Financial Services

  • Applies professional financial and accounting concepts to independently perform analyses of moderately complex financial services such as researching discrepancies and tax implications and compliance with external regulations and internal policies.
  • Prepares reports and analyses to include summaries of financial transactions, evaluation of current and proposed services, etc. for management review and decision-making.
  • Under general supervision, researches and gathers information from a variety of sources; prepares and summarizes information and reports relative to new services, regulatory compliance issues and / or vendor selection and support activities.
  • Assists with ensuring that financial processing functions which may include accounts payable, accounts receivable, purchasing, recharge billing, travel / entertainment, gift accounting, cashiering and collections are performed with accuracy and that daily operations run smoothly.
  • Conducts or assists with researching, developing and implementing new and changing business processes.
  • Assesses and recommends changes to maintain compliance with federal and state requirements and internal financial / audit policies.
  • Reviews, processes, and approves standardized financial data and transactions. Effectively addresses difficult and complex customer inquiries.
  • Documents processes and procedures for financial activities and participates in the development and monitoring of policies and procedures for team or organizational operations.
  • Participates in audits of internal records and processes and prepares recommendations for changes as needed. Ensures that the appropriate internal controls are addressed, maintained and strengthened to protect University resources.
  • Monitors the delivery of quality customer service to various constituencies to include internal department clients and external vendFunctions as a resource to support staff on issues such as researching financial discrepancies, escalated customer service problems and vendor concerns.


25% – Operations Team Support

  • Coordinates team’s business, including travel planning, and serves as the Chief Operating Officer’s support staff.
  • Perform special projects or assignments.

REQUIRED QUALIFICATIONS

  • Bachelor’s degree in related area and / or equivalent experience / training.
  • Working knowledge of financial processes, policies and procedures.
  • Strong knowledge of financial data management and reporting systems.
  • Proficiency in the use of spreadsheet and database software.
  • Strong interpersonal skills, analytical skills, service orientation, active listening, critical thinking, ability to multi-task in a high volume environment, organizational skills, effective verbal and written communication skills, so
  • Ability to function effectively as a member of a team. Demonstrated capacity to anticipate obstacles and plan for contingencies.
  • Demonstrates attention to detail. Demonstrated ability to determine relevance and prioritize tasks.

PREFERRED QUALIFICATIONS

  • Intermediate knowledge and understanding of internal control practices and their impact on protecting University resources.
  • Skills to provide coaching and mentoring to support staff.

SPECIAL CONDITIONS OF EMPLOYMENT

  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Ability to work remotely from a home office and be able to fulfill requirements of the UCSC telecommuting agreement.
  • Ability to work long periods of time at a computer with or without accommodation.
  • Ability to work occasional nights, weekends and/or holidays.
  • Ability to travel to in-person events (approximately 2-6 team events per year).
