The College of Health Solutions' Student Success Hub is committed to the success of our students during their time at ASU and beyond. We are looking for a service-oriented Student Services Assistant to join our team and be the front-line of our Downtown Phoenix office. Our ideal candidate will have a positive attitude and a desire to help the students, staff, faculty and general public in meeting our mission, "Better Health Starts Here". This role provides services to students at the front desk by supporting student engagement, recruitment, advising, retention, and community placement efforts.

Essential Duties

  • Greets incoming students, staff, faculty and guests at the reception desk.
  • Answers phone calls to address questions, direct callers to the appropriate resource, connect graduate students with their advisor, and schedule appointments for Student Success Hub. Logs calls in our internal call log.
  • Records student walk-ins and appointments; troubleshoots student needs when possible within scope of influence.
  • Creates Salesforce cases for inbound recruitment calls so that the recruitment team can address the questions.
  • Sets up Salesforce cases for appointment reminders for all appointments scheduled through the front desk.
  • Addresses Salesforce cases for Front Desk.
  • Signs out all-day parking passes.
  • Assists with the hiring process for new student workers (reviewing applications, interviewing, calling references, scheduling training).
  • Assists with room scheduling for the Student Success Hub.
  • Reviews DARs for next week appointments. If there are uncertified transcripts, sends a request to have them evaluated.
  • Input the recruitment campaign calls completed by student workers into Salesforce.
  • Assists with mail merges for verification statements at the end of each semester and summer.

Minimum Qualifications

Bachelor's degree in a related field; OR, Four (4) years of administrative and/or program experience: OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Experience providing high quality customer service and demonstrated ability to communicate professionally in-person, through technology (email, zoom, MS Teams) and over the telephone.
  • Experience in a higher-education environment with demonstrated experience in student service strategies.
  • Demonstrated knowledge of ASU's academic structure, programs, colleges, departments and organization.
  • Experience with data entry; word processing; Microsoft Office Applications (i.e. Word, Excel, Outlook) particularly using Outlook Calendars.
  • Demonstrated knowledge of general office procedures and practices.
  • Experience with PeopleSoft, Salesforce and degree audit software.
  • Experience in establishing and maintaining effective working relationships and evidence of teamwork in prior positions.
  • Organizational experience while prioritizing multiple tasks in a fast in a fast-paced and service focused environment, detail-oriented.

Working Environment

Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work. Occasional bending, reaching, lifting, pushing and pulling up to 25 pounds. Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts. Ability to clearly communicate verbally, read, write, see and hear, as well as use basic math to perform essential functions.
